Switching legal software is one of the biggest operational decisions a firm makes — and one of the easiest to get wrong. Ask these five questions before you sign anything, and you will avoid the most common and expensive mistakes.

The right practice management system can transform how a firm runs; the wrong one can cost you years of frustration, lost data and wasted licence fees. Whether you are moving off a legacy system or choosing your first proper platform, here is a practical checklist to work through before you commit.

1. Is it built for Scotland — or just adapted for it?

This is the single most important question for a Scottish firm. Scotland has its own legal system, its own regulator, and its own Accounts Rules that differ from the SRA rules applying in England and Wales. Some of the biggest names in legal software are designed primarily around English practice and English compliance, then adapted for Scotland afterwards.

Ask directly: does the system handle Scottish client-account compliance natively? Does it support Scotland-specific work such as executry and confirmation? A platform genuinely built for Scottish solicitors will save you countless workarounds down the line.

2. How does it handle client money and compliance?

Your software touches the most heavily regulated part of your firm. Before switching, confirm it offers an integrated legal cashbook and client ledger, real-time client balances, built-in reconciliation, and an audit trail that will satisfy a Law Society of Scotland inspection. If accounting is bolted on — or worse, handled in a separate generic package — you are inviting risk.

Ask for specifics

Don't accept "yes, we're compliant" at face value. Ask the vendor to show you the reconciliation workflow and a sample audit trail. A confident provider will happily demonstrate it.

3. What actually happens to your data during migration?

Data migration is where switches succeed or fail. Get concrete answers: Who is responsible for migrating your matters, ledgers and documents? How is data mapped and validated? Is there a parallel-running period? What does the vendor guarantee if something goes wrong? A credible provider will have a structured migration process and be able to talk you through it in detail rather than waving it away.

4. What is the true total cost — and what is the AI actually doing?

Look beyond the headline per-user price. Factor in migration, training, integrations, support tiers, and any modules charged separately. Then scrutinise the AI features that every vendor now advertises. Ask what the AI genuinely does, whether it is included or an add-on, and — critically — how it guards against inaccuracy. AI that drafts or researches can save real time, but only if you understand its limits.

A demo shows you the software on its best day. Migration, support and hidden costs show you what living with it will actually feel like.

5. What are onboarding, training and support really like?

Even the best system fails if your team cannot use it. Ask how onboarding works, how much training is included, and what ongoing support looks like — is it UK-based, is it responsive, and does it understand Scottish practice? Ask to speak to a reference firm of similar size to yours. The quality of support often matters more day-to-day than any single feature.

The bottom line

Switching software is a chance to make your firm more efficient, more compliant and more profitable — but only if you look past the sales demo. Pin down Scotland-specific compliance, client-money handling, migration, true cost and support before you sign. The firms that ask these five questions up front are the ones that look back on the switch as one of the best decisions they made.
